Sunset Safety Agency fleet supporting property management portfolios

Built for Property Management Portfolios

One Master Service Agreement, property-specific addendums, portfolio-tier pricing, and the invoicing workflow your accounting team already uses. We work with property managers from single buildings to 40-property portfolios.

What Portfolio Managers Need from a Security Vendor

When you're running multiple properties, the friction points aren't usually the patrol service itself. They're everything around it:

  • Contract administration — every property requiring its own contract, signature cycle, and renewal calendar
  • COI delivery — needing a certificate of insurance on the new property by Friday, getting it three weeks later
  • Invoicing workflow — vendors who can't process payment through AvidPay, AvidXchange, or your accounting platform
  • Standardized reporting — different vendors using different report formats across the portfolio
  • Single point of escalation — calling a different number for every property when something goes wrong
  • Pricing consistency — getting quoted different rates by the same vendor depending on which property manager negotiated

We've built our operation around solving these exactly.

Property manager needs portfolio-wide patrol

The problem
Five Orange County communities need consistent patrol intervals and centralized reporting for ownership.
Expected outcome
One vendor relationship, unified reporting, and faster incident escalation to regional staff.

How Sunset Works with Property Managers

1

Master Service Agreement + Addendum structure

Sign one MSA covering payment terms, liability, insurance, and termination. Add properties under signed addendums — each addendum covers that property's address, services, schedule, and rates. Adding the 11th property doesn't require a new contract negotiation; it's an addendum.

2

Adobe Sign for everything

New addendums, scope changes, renewals — all handled in Adobe Sign. No printing, no scanning, no faxing.

3

Portfolio rate tier

Property managers running multiple properties get our portfolio rate sheet — lower per-hour officer rates, lower per-visit patrol rates, lower standby and call-out rates. Volume earns the price break.

4

AvidPay and AvidXchange invoicing

We invoice through both platforms. Your AP team processes our invoices the same way they process any other vendor's.

5

COI delivery on day one

We issue certificates of insurance immediately on addendum signing. Additional insured language available. Renewal COIs sent before expiration without your team needing to chase.

6

Standardized Daily Activity Reports

Across every property in the portfolio. Same format, same fields, same client portal — so your team isn't translating between vendors when reviewing incidents.

7

One escalation contact

When something happens on any property in your portfolio, you call one number. We route from there.

  • Vehicle PatrolMost common portfolio service. Configured per-property based on size and risk profile.
  • On-Site OfficerFor properties where mobile patrol isn't enough.
  • Parking EnforcementFree across the portfolio with any patrol or on-site contract.
  • Permit ManagementStandardized resident permits across multiple buildings.

How Pricing Works for Portfolios

Property managers automatically qualify for our portfolio rate tier, which is meaningfully lower than our standard rate sheet across every line item — officers, patrol visits, standby, calls. The break-even point for portfolio pricing is typically around 3 properties or 200+ patrol visits per week.

For larger portfolios, we structure custom rates as part of the MSA. The MSA stays the same; rates are referenced in each property's addendum.
