Crowd size, access control, alcohol service, emergency exits, and dispatch coordination — what to finalize before event day.
Start 30 days out — not 30 hours
Event security fails when staffing and access plans are decided at the gate. Property managers and organizers should treat security as operations, not an afterthought.
Event details to document
- Expected attendance and peak arrival window
- Venue map with vendor rows, stages, and parking
- Alcohol service areas and last-call timing
- VIP or restricted zones
- Load-in / load-out schedule
Risk review checklist
- All emergency exits unobstructed and marked
- Fire lane kept clear for the entire event
- Medical plan (on-site EMT or 911 protocol)
- Weather contingency for outdoor events
- Noise and neighborhood impact plan
Staffing and posts
Work with your patrol partner to assign:
- Entry / credential checks
- Roving officers for crowd flow
- Vendor row visibility
- Parking lot deterrence
Radios should tie into 24/7 dispatch so incidents aren't handled in isolation.
Day-of coordination
- Pre-event briefing with all officers and event chair
- Shared contact sheet (event lead, PM, dispatch)
- Incident log — even minor issues should be noted
After the event
Request a post-event summary for your records and insurance file. Boards appreciate a one-page recap at the next meeting.
